Job Vacancy – Project Admin Assistant (DTM)

Location:
Pemba, Cabo Delgado, Mozambique

Organization:
International Organization for Migration (IOM)

Supervision:
Under the overall supervision of the Migration and Displacement Programme Coordinator and the direct supervision of the DTM Project Officer, with close coordination with the Head of Sub-Office in Pemba, Operations Officer in Nampula, and Resources Management Unit in Pemba.

Responsibilities:

  1. Administrative & Financial Support:
    • Support administrative and clerical activities in the field, in collaboration with the Finance and Logistics Unit.
    • Liaise with IOM Procurement and Logistics for the timely procurement and delivery of materials to field offices.
    • Monitor project budgets and financial expenditures, alerting the Programme Officer of any deviations or over-expenditures.
    • Process advances and payment requests, initiating corrective actions when necessary.
  2. Coordination & Reporting:
    • Coordinate with Human Resources and Finance Units for staffing, timesheets, and related documentation.
    • Maintain an effective filing system for project documents, letters, memos, etc.
    • Assist in preparing and organizing training sessions for data collection teams.
  3. Capacity Building & Compliance:
    • Support capacity building of field teams on IOM Codes of Conduct and Finance/HR requirements.
    • Ensure compliance with IOM financial rules and regulations.
  4. General Support:
    • Provide troubleshooting and problem-solving support for general operations.
    • Perform other duties as assigned.

Education:

  • Bachelor’s Degree in Administration, Finance, Information Management, Computer Science, or a related field from an accredited university with 2 years of relevant work experienceOR
  • Completed High School Diploma with at least 4 years of relevant working experience.

Skills:

  • In-depth knowledge of migration-related subject areas.
  • Knowledge of UN and bilateral donor programming.
  • Familiarity with financial rules and regulations.
  • Proficiency in Microsoft Office and strong IT skills.

Languages:

  • Fluency in English and Portuguese (both oral and written) is required.
  • Knowledge of local languages is advantageous.
