Job Description
The Administration & Accounting PIC will be responsible for handling all administrative tasks for the office and its staff while maintaining regular communication with the accounting department in Johannesburg for payment transactions and audits.
Key Responsibilities
- Vendor Payments: Process and arrange payments for vendors.
- Expense Management: Handle PS, GM expenses, business trips, and other financial arrangements.
- Financial Reporting: Prepare and summarize monthly reports for corporate credit card transactions.
- Invoice Processing: Request and manage invoice issuance from service providers.
- Credit Card Management: Apply for and cancel corporate credit cards.
- Auditing Support: Coordinate and arrange audits with Deloitte.
- License & Permit Renewals:
- Renew office licenses.
- Manage expatriate quota renewals in coordination with APIEX.
- Obtain and extend work permits.
- Process INSS exemption requests.
- Renew insurance policies.
- Asset Management: Maintain and control company assets.
- Vehicle Management: Monitor and track company car fuel usage.
- Tax & Compliance: Arrange “Certidão de Quitação” and ensure compliance with local regulations.
Qualifications & Requirements
- Technical Skills: Proficiency in Microsoft Excel, Word, and PowerPoint.
- Language Skills: Fluency in Portuguese and strong knowledge of English, with the ability to translate if necessary.
- Experience: Previous experience as an Administrative PIC.
- Education: Bachelor’s degree or equivalent.
